Photo/Video Release Policy
Registration implies agreement with AMWA’s photo/video release policy which allows the AMWA photographer, videographer and invited media contacts to photograph or videotape participants at the meeting and publish the footage in future print and electronic promotional and archival materials related to the meeting.
Mobile Meeting App
The Whova networking mobile app will be used at the meeting. Attendee profiles will automatically be compiled by the Whova team and consists of only public information readily available on the web. E-mail addresses will not be published. Messages sent through the app will be sent to the attendees email. Registrants of the meeting agree to allow their name and email address be released to Whova.

Poster Abstract Submission
Poster sessions will be held as follows:
Physicians: Saturday, March 28, 1:00-2:00 pm
Students: Friday, March 27, 8:00-9:00 pm, Saturday 7:30-8:30 am
Format: All posters must be presented in paper format 30″ x 40″ (horizontal).
Submission categories include: Clinical care – best practices, Clinical care – case study, Research – human subjects (clinical), Research – bench, and other.
Posters that align with AMWA’s priority topics are especially encouraged:

- The abstract must be 2000 characters or less (including characters, excluding title and author names). No graphics are allowed in the online submission form.
- There is a one-time, non-refundable $45 poster application fee
- Poster abstract must be 300 words or less (author names do NOT count toward word limit)
- Approval must be obtained from ALL authors before the abstract is submitted. A confirmation email will be sent to each author following submission receipt
- The submitting author must be available to present at the conference.
- Please enter your abstract information as accurately as possible, as it will not be able to be changed after submission of this form.
- For Research Abstracts: Background/Purpose, Methods, Results, Conclusions
- For Quality Improvement or Innovation Abstracts: Background, Intervention/Innovation, Results, Conclusion

The deadline for poster abstract submission is December 15, 2019. Posters after that time will be accepted on a space available basis.

The 105rd Anniversary Meeting of the American Medical Women’s Association will be held March 26- 29, 2020 at the Hyatt Regency in Indianapolis, Indiana. This event presents an opportunity to reach a large assembly of women physicians and trainees from all over the U.S. Exhibit hours are planned to ensure opportunities throughout the weekend to meet with all of the attendees.
Venue: Hyatt Regency Indianapolis at a discounted rate of $159. Booking link coming soon.
Each Exhibit space will include:
– One 6 ft draped table with 2 chairs
– Listing in the program book if registered and paid for by February 20, 2020
– Pass to attend non-meal meeting sessions

Exhibitor Guidelines: Exhibitor assumes responsibility and agrees to indemnify, defend and hold harmless Hotel, Hyatt Regency, and the Hotel’s Owner, and their respective owners, managers, subsidiaries, affiliates employee and agents (collectively, “Hotel Parties”), and Group from and against any claims or expenses arising out of the use of the exhibition premises. The Exhibitor understands that neither the group nor the Hotel Parties maintain insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance.
Exhibit Space Rental: Space will be assigned according to the order in which paid applications are received.
Cancellations: Once a formal application has been received; cancellations must be submitted in writing, no later than 6 weeks prior to the opening day of the meeting. A $100.00 Cancellation fee will be assessed. If no notification is provided, the applying company will be responsible for the entire exhibit fee.
Regulations: Exhibit space will be provided as indicated in this prospectus. Exhibits must be installed so that they do not project beyond the space allotted. No interference with the light or space of other exhibitors will be permitted. No signs or other articles shall be posted, nailed or otherwise attached to any of the pillars, walls, doors, etc., in such manner as to deface or destroy them. No attachments shall be made to the floors by nails, screws or any other device. All space is leased subject to these restrictions.
Display Requirements and Restrictions: AMWA retains the right to deny the exhibition of inappropriate items and products (for example products or services that do not have FDA approval. Please contact the Exhibit Manager (firstname.lastname@example.org) with any questions. Exhibit participation does not constitute in any form an endorsement of a company or product by AMWA. Exhibitors are prohibited from making media marketing statements based on participation in the meeting as an exhibitor.
Irregular Canvassing and Distribution of Advertising Matter: Solicitation of business or conferences in the interest of business except by exhibiting firms is prohibited. Exhibitors are urged to report to the Exhibit Manager any violations of this rule. Canvassing by exhibitors outside of their booths is also forbidden. Circulars or advertising matter of any description shall not be distributed except from the exhibitor’s booth.
Uncontrolled Eventualities: AMWA will take all reasonable precautions against damage or loss by fire, water, storm, theft, strike or any other emergencies of that character but does not guarantee or insure the exhibitor against loss by reason thereof.
MEETING PACKAGES & DELIVERIES
Special arrangements must be made for receiving any equipment, goods, displays or other materials that will be sent, delivered or brought into the Hotel. Failure to do so may result in deliveries being refused or materials being unavailable when required. All deliveries regardless of size must be delivered or unloaded at the Hotel’s loading dock. The Hotel’s receiving entrance is open from 7:00 AM to 4:00 PM, Monday through Friday. Any materials being sent to the Hotel must be marked as follows:
